Complete Support for Medical, Legal, and Employment Requirements
A seafarer's readiness for deployment depends on more than just a visa and a Seaman's Book. A myriad of supplementary documents—medical certifications, police clearances, vaccination records, and employment verifications—must be valid, correctly formatted, and readily available. Missing or expired supporting documents can be just as fatal to a deployment schedule as a rejected visa.
INDO DOCS provides a "one-stop" administrative solution for these essential supporting documents. We coordinate with approved medical clinics, police headquarters, port health authorities, and manning agencies to ensure your entire documentation portfolio is compliant and deployment-ready.
All Indonesian seafarers must hold a valid Medical Fitness Certificate issued by a government-approved clinic (Rumah Sakit/Klinik Utama yang ditunjuk Hubla). This certificate, often referred to as the "Garuda" medical, confirms you meet the physical and health standards required for sea service under STCW conventions.
Note: We do not conduct medical exams ourselves. We facilitate the administrative process with accredited medical providers to ensure your certification is recognized by global maritime authorities.
Many international visas (especially US C1/D and Schengen) and employers require a Police Clearance Certificate (Surat Keterangan Catatan Kepolisian - SKCK) to prove you have no criminal record. For seafarers, an SKCK issued by the National Police Headquarters (Mabes Polri) or Regional Police (Polda) is typically required for international use.
Navigating the SKCK process can be time-consuming due to specific requirements for fingerprints, recommendation letters, and residency documents. INDO DOCS streamlines this by:
For seafarers traveling to or transiting through countries in Africa and South America, a Yellow Fever Vaccination Certificate (International Certificate of Vaccination or Prophylaxis - ICVP) is mandatory. Port Health Authorities (KKP) issue these documents.
We assist in locating available vaccines at Port Health offices and arranging for the issuance or replacement of lost ICVP cards (the "Yellow Card"). We also assist with documentation for other updated vaccination requirements as mandated by international health regulations.
Your relationship with your employer or manning agency is documented through various contracts and letters that are essential for visa processing and travel.
Letter of Guarantee / Employment Letter: We review draft letters from your manning agency to ensure they meet the specific wording requirements of the embassy where you are applying. A generic letter is often insufficient; specific details about the vessel, joining port, and agent contact information must be included.
Ok-to-Board (OTB) Verification: We coordinate with airlines and ground handlers to ensure your visa and employment documents are verified in their systems before you arrive at the airport, preventing check-in denials.
Seafarer Employment Agreement (SEA): We verify that your contract details match your visa application data to prevent inconsistencies during consular interviews.
Don't let a missing medical certificate or expired police clearance delay your income. Ensure every document is ready for your next contract.
